What is KPI software?

    Short answer

KPI software is a tool that collects, calculates and displays key performance indicators in one place, so teams can see results against targets and act on them. In operations it shows measures such as safety, quality, delivery and cost by team and site, highlights what is off target, and links each gap to an owner and an action.

    What does KPI software do?

    • Collects data from people entering results, from checklists and audits, and from other systems.
    • Calculates and displays each measure against its target, with trends over time.
    • Flags exceptions so a red measure is seen and discussed, not buried in a report.
    • Rolls results up from team to area to site, so leaders see the same numbers the frontline sees.
    • Links gaps to actions with an owner and a due date, and shows whether they were closed.

    What features matter for operations?

    FeatureWhy it matters
Targets and thresholdsA number only means something against a target
Daily or per-shift updatesMonthly reports show problems after they have cost you
Roll-up by tierThe same measure is visible at team, area and site level
Actions with ownersA red measure should start a response, not just a discussion
Trends and historyShows whether a fix held
Simple data entryIf entering results is hard, boards go stale

How do you choose KPI software?

    1. Start with the decisions. List the meetings that use the numbers and what they decide. Pick software that serves those meetings.
    2. Pick few measures first. Three to six per team beat fifty nobody reviews. See manufacturing KPIs for examples by area.
    3. Check the data path. Know where each number comes from and who enters or approves it.
    4. Test it with the frontline. If operators will not use it at the board, the data will not be current.
    5. Check the response loop. Look for actions, owners and due dates, not only charts.

KPI software vs a BI dashboard

A business intelligence tool is built to analyse data and build reports, usually for managers and analysts. KPI software for operations is built to run the day: it puts agreed measures in front of the team that can change them and tracks the follow-up. Many sites use both.

    Example

A plant reported scrap and on-time delivery in a monthly pack. Problems were discussed three weeks after they happened. The team moved to a short set of measures per line, updated each shift and reviewed at the start of the next, with each red measure raising an action. Causes were being addressed within a day, and the monthly pack became a summary of what the daily meetings had already handled.

    How TeamAssurance helps

In TeamAssurance, the tier board carries your agreed measures, such as safety, quality, delivery and cost, against their targets, and results roll up from team to area to site. When a measure goes red, the team raises an action with an owner and a due date in the daily meeting, and escalates it up the tiers if it cannot be fixed locally. Scheduled checklists and audits feed the same board. TeamAssurance is a daily management platform, not a replacement for your finance or analytics tools.

    Frequently asked questions

What is the difference between a KPI and a metric?

A metric is any measurement. A KPI is a metric tied to a goal and a target that the team is expected to act on. Many metrics are collected, but only a few should be KPIs.

How many KPIs should a team track?

Three to six per team is a practical range for daily management. More than that and the daily review turns into reading numbers rather than solving problems.

Can you track KPIs in a spreadsheet?

Yes, and many teams start there. Spreadsheets tend to struggle when several teams, shifts and sites must roll up to one view, and when each red measure needs an owner, a due date and follow-up.
